These terms set out the agreement between you and Bayu Digital when you enquire about or engage any of our AI integration services. Please read them at your own pace. If you have questions, we are happy to talk through anything before you commit.
1. About Bayu Digital
Bayu Digital is an AI integration consultancy based in Taman Tun Dr Ismail, Kuala Lumpur, Malaysia. We work with small business owners to bring practical, affordable AI tools into their day-to-day work. Our services are delivered by a small in-house team and are designed for businesses that want thoughtful, unhurried support.

2. Services Offered
We currently offer three service packages, each described on our Solutions page and summarised below. All timelines are estimates and may shift depending on your business's availability and the complexity of what we find during scoping.
Friendly Site Helper
RM 590A gentle AI helper for your website. Covers query review, helper build, and handover. Typical delivery: 1–2 weeks.
Task Ease Support
RM 980A mapped AI toolkit to lighten routine tasks. Covers planning, toolkit setup, and clear notes. Typical delivery: 3–4 weeks.
Clear Overview Setup
RM 1,365A data dashboard turning your records into readable summaries. Includes review, dashboard build, and optional monthly review. Typical delivery: 4–6 weeks.
All prices are in Malaysian Ringgit (MYR) and inclusive of SST where applicable unless stated otherwise in your project agreement.
3. Starting an Engagement
An engagement begins when both parties agree in writing — typically via email — on the service to be delivered, the price, and the expected timeline. No work starts before this agreement is in place. We do not require a formal contract for every project, but a written confirmation of scope is always necessary.
If after our initial scoping conversation we find the work does not fit well with what your business needs, we will tell you honestly. We would rather refer you elsewhere than begin a project that is unlikely to serve you well.
4. Payment Terms
- Deposit: A 50% deposit is due before work begins. This reserves your project slot and covers initial scoping time.
- Balance: The remaining 50% is due upon completion and handover of deliverables.
- Payment methods: Bank transfer to our Malaysian account. Details provided in your invoice.
- Late payment: If the balance is not settled within 14 days of the handover notice, we may pause access to any delivered assets until payment is received.
We do not charge hidden fees. Any additional work beyond what was agreed will be discussed and priced before we proceed.
5. Changes to Scope
If you would like to adjust the scope of a project after work has begun, please let us know as soon as possible. Small adjustments are usually absorbed within the agreed fee. Larger changes — such as adding a new tool category or extending the data review significantly — may require a revised quote and timeline.
We aim to be flexible. Our goal is for the work to actually fit your business, not just match a fixed specification.
6. Cancellations and Pauses
- Before work begins: You may cancel with a full refund of any deposit paid, provided you notify us before the scoping session has taken place.
- After scoping, before build: The deposit is non-refundable, as the scoping time has been spent. All work completed to that point will be provided to you.
- During build: Cancellation is possible. We will invoice for work completed to date at a pro-rata rate. Any overpayment will be returned promptly.
- Pauses: If you need to pause a project for personal or business reasons, please tell us. We will do our best to hold your slot for up to four weeks.
7. Deliverables and Handover
At the end of each project we provide a handover package. This includes the configured tools or dashboard, documentation explaining how to use them, and a brief walkthrough session (via video call or in person, as preferred). The handover is yours to keep, and we will not remove access to anything we have set up for you.
After handover, ongoing maintenance or changes are outside the original scope and can be arranged under a separate agreement. We are always happy to continue working with you.
8. Intellectual Property
Any materials, configurations, and documentation created specifically for your project become yours upon final payment. You are free to modify or build on them without restriction.
General methodologies, templates, and processes that Bayu Digital uses across projects remain our property. We may reuse our general approach for other clients, but nothing specific to your business will be shared with or provided to any other party.
9. Confidentiality
Any business data, financial records, customer details, or internal processes you share with us are treated as strictly confidential. We will not disclose, sell, or discuss your information with any third party without your written consent, except where required by Malaysian law.
If a project requires us to work with third-party platforms (such as cloud services or AI providers), we will tell you which ones and ensure you are comfortable before proceeding. Your data will only be shared with platforms that are strictly necessary for the service.
10. Limitation of Liability
Bayu Digital will carry out our work with reasonable care and professional skill. However, we cannot accept liability for:
- Business outcomes or revenue changes that follow from using our services.
- Errors or downtime caused by third-party AI platforms, hosting providers, or software outside our control.
- Data loss resulting from actions taken by you or your team after handover.
- Indirect or consequential losses of any kind.
Our total liability to you in any circumstance is limited to the amount you have paid us for the project in question.
11. Governing Law
These terms are governed by the laws of Malaysia. Any dispute that cannot be resolved by discussion between us will be referred to mediation before any formal legal proceedings. We would always prefer to find a sensible resolution together.
12. Changes to These Terms
We may update these terms from time to time. The date at the top of this page will reflect the most recent update. For active projects, the terms in place at the time your project was confirmed will apply unless we agree otherwise in writing.
